GS & Facilities Manager


Responsibilities:

• Manage the entire planning process of general services and facilities management, and manage all process in the most effective and efficient way, and assure that the facilities or services meets user need, specifications and requirements, while maintaining time improvement and cost reduction
• Develop various policies, SOPs, guidelines and forms related to GS and Facilities Management
• Manage all company assets and facilities in efficient way, and assure that such facilities are always in good condition and properly operated
• Ensure the sourcing, availability and effectiveness of various office/facilities’ maintenance, cleaning services and housekeeping management (including managing outsourcing from strategic vendor/partner).
• Direct and monitor Facilities Management Department on maintaining and conducting all general service-related matters such as offices, company’s houses, office equipment, apartments, guesthouses, etc.
• Ensure and approve the usage of company cars, guest house and office to ensure availability of them to support operational needs
• Manage, review and monitor contracts and agreements (related to outsourcing) of various company’s facilities
• Assure the strong support to other department related to communications, relations and permits.
• Manage and control all necessary preparation for special projects, events or visits to the site.
• Preparing master plan for site camp facilities, including its budget
• Preparing documents to put out tenders for contractors/outsources/investor to establish site camp facilities;
• Project management and supervising and coordinating work of contractors/outsources/investor in preparing site camp facilities;;
• Managing, liaising and negotiating with landlords of company hired facilities
• Ensure the implementation of all HSE (Health, Safety and Environment) policy and procedure in the workplace.
• Ensure resources availability and provide development opportunity of personnel within the area of responsibility, including coaching, training and skills improvement opportunities
• Plan and propose and control the Work Program & Budget for the GS and Facilities Management areas and ensures that costs and expenditures are within the approved budget

Requirements:

• Male/Female
• Bachelor degree in any discipline
• Posses experience in corporate facility management area, preferable in energy and mining sector or 5 to 8 years experience in managerial exposure in energy and mining sector

Requirements:

• General Qualification

Technical Skill

• Good understanding in designing formats for all documents to create master documentation templates

• Responsible for supporting trainings such as:
• Preparing training syllabus
• Coordination and scheduling for both trainers and trainees
• Setting up training session with external parties
• Documenting all training documents (hard and soft copy)
• Preparing all training accessories such as name tag, printed material, banner, program guide, etc. and distribute those accessories to all participants
• Assisting logistic for training needs
• Involved in administrative duties for training needs
• Program socialization:
• Supplying and compiling all materials related to the socialization programs according to the pre-defined formats
• Preparing time schedule
• Prepare all documentation needed for socialization
